2011 Fairie Festival Vendor Information

Spoutwood Farm Center is an organization dedicated to bringing people and nature together. We have grown our Festival carefully and with love over the past 19 years. We believe that fairies and beauty will save the world, and invite you to help us in this endeavor!

Everything here is important, but is not inclusive. UPON ACCEPTANCE we will keep you updated. YOU ARE RESPONSIBLE for reviewing all information emailed to you. READ CAREFULLY! We will take points off of your application if you ignore any part of this information! READ CAREFULLY! (Did I mention that you should read carefully?)

Date & Hours of the 2011 May Day Fairie Festival

Friday April 29 - Sunday May 1 2011. YOU MUST BE PRESENT ALL THREE DAYS.

Entry Deadline

Application must be received by January 20, 2011. NO EXCEPTIONS. Notifications of acceptance/rejection will be emailed no later than February 15 2011.

Art at the Festival

We are looking for 70 vendors who share in the Festival's vision, to excite the senses and inspire imagination. Of the vendors we select, approximately 75% will be current vendors; 25% will be new. All but approximately 5 vendors will sell original, handmade work; up to 5 vendors will be selected as re-sell vendors. Of those 5, we will give preference to those who sell fair trade, unique, items. Please be aware that we receive many more applications than we can accept. Be sure to spend some time looking at our 2010 vendors to get an idea of the sort of work and quality that we're looking for. Also, please acquaint yourselves with the mission of the Farm, as it aligns with the Festival's mission (check out their website: spoutwood.org). People attend our Festival to find artwork that they can't find anywhere else. Please make sure your work meets their expectations!

Eligibility

Your work must be original and you must be present to display and sell. No representatives or dealers allowed. Your work should represent a positive vision of fairy, nature, woodland, Celtic, or other fanciful theme. Your inventory must be 100% work of your own creation. Please do not attempt to sell or submit a non-juried artist's work. Every artist must complete an application. This applies to "co-ops" or other group ventures. Please be aware that one of you may not be accepted, while the others in your group may be. No commercially produced merchandise; imported items; articles assembled from plans, kits or molds; or articles composed primarily of pre-manufactured components will be considered. Exception: if you have licensed work such as manufactured figurines, it may represent up to 10% of your inventory. NOTE TO ALL: NO GUNS or OTHER WEAPONS WHETHER REAL OR REPLICA ARE PERMITTED. NO DRUG PARAPHANALIA OR HERBAL PHARMACEUTICALS, LEGAL OR ILLEGAL, WILL BE TOLERATED. You will be asked to leave if you display any of these items. NO EXCEPTIONS.

Jury and Vending Fees

All artists must submit an application for jury; this applies to "old" vendors as well as those who have not vended with us before. Applicants who have not vended with us before must pay a non-refundable $10 jury fee. The jury fee, along with your application, must reach us by the deadline of midnight, January 20 otherwise your application will be discarded. Make your check out to Spoutwood Farm or use Paypal (see application).
The 2011 Festival vending fees are as follows:

Maximum 12x12 space: $300

Maximum 12x20 space: $450

Maximum 20x20 $600 (NOTE: THERE WILL NO TENTS ALLOWED OVER 20x20 THIS YEAR

"Portable" vendors (no space allotted): $150

DO NOT SEND VENDING FEE AT THIS TIME. Instructions for payment will be sent upon acceptance.

Jury Procedure

All applicants, new and returning, must make images of your work available on a website of some kind (no, I do not care that you've vended with us for 20 years. You MUST show us your work!). If you use a photo-sharing site such as Flickr, please make sure you make them public so that all members of the jury can access them. Absolutely no slides or emailed JPGs will be accepted. Images must accurately represent your work. You may only exhibit and sell work of the type represented in your application. BE SURE TO LIST EVERY TYPE OF item you want to sell! You will not be permitted to add items to your application once you're accepted, since it wasn't available during the jury period.

(NOTE: If you don't have a website, please let us introduce you to etsy.com. If you're new to selling your work online, etsy.com is a very supportive environment. Etsy makes it very easy to upload your pictures, provides you with a "shop" where you can introduce yourself not only to us, but also to the entire world.)

You are responsible for making sure your website is valid and available during the entire jury period (September 15 2010-February 10, 2011).

In fairness to all, there will be on-site review of all vendors during the Festival. Please be advised that the jury committee may request removal of any work that differs from that represented in your application. You will not be invited back if we feel you're violating this rule.

Set-Up

You are responsible for your own tent, tables, etc. We expect you to decorate your tent so it will be as attractive to the Fey as possible. No electricity is provided. We ask that you use recycled and/or recyclable materials for your packaging, etc. We are striving to be a zero-waste festival. Festival will be held rain or shine. Be prepared. There is no rain date.
Sales Tax

You are responsible for reporting and paying your own sales tax. Please be sure to include your sales tax permit number on your application. If you don't have one, you must provide us with your 2011 sales tax permit number within 15 days of acceptance. Apply online at www.pa100.state.pa.us . It's free. Our promoter number is 10007833.

Insurance

All accepted vendors must provide proof of insurance within 20 days of their acceptance notification to meet these requirements: $1,000,000 General Aggregate Limit $1,000,000 Products and Completed Operations Aggregate Limit $500,000 Per Occurrence Limit $500,000 Personal Injury and Advertising Injury Limit $100,000 Fire Damage Liability Limit $5,000 Medical Payment Limit Spoutwood Farm Center Inc. and Robert and Lucy Wood 4255 Pierceville Rd Glen Rock PA 17327 must be listed as additional insureds on the policy. In addition, exhibitors are responsible for their own insurance for displayed work, tools and/or equipment. The May Day Fairie Festival assumes no liability for damage due to weather or other natural causes or theft.

Communications

This is VERY important! Please check your email frequently and make sure that it's working. You should receive an acknowledgement within 5 days of applying. If that email bounces, we will make no further attempts to contact you. Your email address is automatically added to our database when you apply; therefore any mistakes in your email address are yours! If you change your email address, LET US KNOW. We may have questions about your application during the ongoing jury process. YOUR ACCEPTANCE/REJECTION will be via email. If you are accepted and our message to you bounces, your application will be placed in pending status for 5 days. We expect to hear back from you within 5 days of acceptance. If we don't hear from you, your application may be discarded. All communication leading up to the Festival is via email.

Payment Terms

If you are accepted, you will receive an invoice that includes all required and optional fees (vending, parking, camping, advertising, etc.) Payment will be due upon acceptance. If you haven't paid your vendor fee by March 15, your vending status will be revoked. No refunds of vendor or other fees will be given after April 1st.

Remember!

Remember that our festival is a family event. No weapons, overt religious expressions, intoxicating herbals, legal or otherwise will be tolerated. Please, use good taste - no obscenities. Please remember our audience is of all ages and beliefs.
